What You'll Be Doing

**This is a 6-month contract to cover a maternity leave**

 

The Receptionist creates a memorable guest experience that focuses on outstanding client service, making strong verbal and written communication skills essential.  A professional business image and positive demeanor are required for this front-line position.  The role provides general office services ensuring all administrative and operational processes and control standards are followed, while seeking to determine, develop, and participate in implementation of improvement opportunities, contributing to the effective and efficient operation of the business group.

Note – This position is based at our Toronto office and requires in-person attendance.  Hours are 7:30am to 4pm (subject to change) with a 1-hour lunch break.

What We're Looking For

The Receptionist will be responsible for the following tasks:

  • Greets clients and guests arriving at the firm in a friendly and polite manner; informs parties involved of arrival; follows instructions from internal clients on any specifications with respect to guest (i.e. offer beverage);
  • Maintains constant awareness of surroundings including reception and meeting rooms to monitor firm security; questions unknown guests; contacts the appropriate staff in emergency situations or whenever assistance is needed by either staff or firm guests;
  • Assist in the resolution of various issues (i.e. uncleanliness, light bulb replacement, temperature complaints, problems with plumbing) through submission of service requests to building management or solicitation of independent contractors;
  • Provide administrative support (booking travel, submitting expense reports, etc.) to employees as required;
  • Familiarizes oneself with frequent visitors (i.e. learning their names and/or knowing which organization they represent);
  • Responds to general inquiries from the public and forwards calls to the appropriate personnel or department;
  • Oversees daily meeting room requests;
  • Assist in keeping reception and kitchen area neat and orderly;
  • Managing incoming and outgoing courier/packages and other mailroom duties;
  • Ordering weekly food order and maintaining the cleanliness of the department kitchen and catering kitchen; and 
  • Other duties and responsibilities as assigned.

  • Can work effectively with a team, but also independently; and
  • Proven ability to work well under pressure and in a fast-paced environment.

Education & Experience

  • Experience working in a professional services environment and providing high level customer service.

Systems & Technology

  • Knowledge of MS Office Suite including Outlook, Word and Excel.
